Introduction and scope
This policy explains how MetaTech Solutions handles personal information submitted through the MetaTech website and related business communications. MetaTech is based in Nairobi, Kenya.
It does not automatically govern systems MetaTech builds for other organisations. Those systems may have separate controller, processor and privacy arrangements.
Who is responsible for information submitted here
MetaTech Solutions determines how personal information submitted through this website is used for handling enquiries and related business communication.
Information collected
The website collects information that visitors choose to provide through its enquiry forms and in subsequent correspondence. A discreet anti-spam control may also be used to protect the forms from misuse.
- Name, organisation, work email address and phone number
- Service, industry, timeline, budget-readiness and preferred-contact selections
- Enquiry messages, descriptions of current systems, workflows, operational problems, reporting needs, desired integrations and intended outcomes
- Technology Audit information, consent acknowledgement and email correspondence that follows a submission
- Limited technical or security information where this is generated by the selected hosting or security infrastructure
Information visitors should not submit
Please do not send passwords, payment-card information, national identification documents, authentication credentials or highly sensitive personal information that is not needed for an enquiry.
How information is used
MetaTech uses enquiry information to review and respond to requests, understand the relevant service or operational problem, assess whether MetaTech may be able to help, prepare for a possible business engagement, maintain appropriate business correspondence, protect the website from misuse and meet applicable legal obligations.
MetaTech does not sell enquiry information or use it for behavioural advertising. The website does not currently use enquiry information for automated decision-making or unrequested marketing. Submitting a form does not create a client relationship or guarantee project acceptance.
Basis for processing
Depending on the context, MetaTech may process information to respond to a request, take steps requested before a possible business engagement, pursue legitimate interests in managing enquiries and protecting the website, meet legal obligations, or rely on consent where consent is the appropriate basis.
Where consent is the applicable basis, it may be withdrawn. Withdrawal does not affect processing that was lawful before it was withdrawn.
How information is received and processed
Form submissions are validated on the server and sent to MetaTech through configured email infrastructure. The website may send a transactional acknowledgement to the email address provided.
The current application does not store a copy of lead submissions in its own database or send them to a CRM. It does not support file attachments, and its server logs are designed to avoid personal enquiry content.
Sharing and service providers
Information may be processed by providers that support website hosting, DNS, content delivery or security, email delivery, and technical maintenance. Providers should receive only the information needed to perform their service.
MetaTech does not sell enquiry information or share it for unrelated advertising.
International data transfers
Hosting, security or email providers may process information in countries outside Kenya. Where this occurs, MetaTech will consider the safeguards required by applicable data-protection law. Provider locations and safeguards are verified as part of production launch and infrastructure review.
Data retention
Information is kept only for as long as reasonably necessary for the enquiry, a possible engagement, business records, dispute handling and applicable legal obligations. The period depends on the nature and status of the enquiry.
Information that is no longer required should be deleted, anonymised or otherwise securely disposed of under MetaTech's approved retention process.
Security
MetaTech uses and maintains reasonable safeguards appropriate to this website, including server-side validation, bounded input fields, anti-spam measures, controlled email recipients, restricted credential access, TLS-protected services, limited logging, dependency maintenance and hosting or infrastructure safeguards.
No internet transmission or storage system can be guaranteed to be completely secure.
Your rights
Subject to applicable law, you may have rights to be informed about use of your personal data, access it, object to processing, correct inaccurate or misleading data, request deletion where applicable, withdraw consent where it is relied upon, receive data in a portable form where applicable, and complain to the Office of the Data Protection Commissioner.
Exercising your rights
To make a privacy request, contact hello@metatech.africa. MetaTech may need to verify identity before acting on a request. Please do not send identification documents unless MetaTech specifically explains a secure and necessary way to do so.
Children
This website is designed for business and organisational enquiries and is not directed at children. MetaTech does not knowingly request personal information from children through these forms. A parent or guardian may contact MetaTech if they believe a child has submitted information.
